When creating the tag fields that will capture the metadata for your environment, you have the option to choose how the tag can be added to the field as well as whether or not the values of that field are visible in the faceted filter.

This article outlines each of the entry types, and what users can see and control in the 6.6 and 7.0 environments.


Tag Entry Types Overview

When creating and editing tag fields that capture your metadata, you want to select the right entry type for your data. Below is an outline of each entry type.

  1. Hidden

    • The field will not appear in the interface, but you can access this field through the API.

    • This field is being phased out and should be disregarded.

  2. Input

    • A Text field. You can enter any type of text into this field.

    • Input is a single line field that wraps text in the UI.

    • The character limit for the Input field is approximately 32,000 characters or the equivalent to 150 written pages; however, it's a better user experience if the character count is kept to 500 characters or less.

  3. Dropdown

    • A field where you can select from a pre-specified list of values.

    • Depending on the settings, a User may also be able to add their own values.

  4. Dropdown Multiselect

    • A field where you can select one or more values from a pre-specified list of values.

    • Depending on the settings, a User may also be able to add their own values.

    • An example of a Dropdown Multiselect field when users are adding data:

  5. Radio

    • A field where you must select one option from a list of values.

    • With the Radio entry type, all the tag values for the field will be listed.

    • If the user changes their selection, the previous selection will automatically unselect and move to the new selection.

  6. Checkbox

    • A field where you can check one or more values from a list of values.

    • With the Checkbox, all the tag values for that field will be listed.

    • The user checks all the values that apply to that field.

  7. Date

    • A field where you can enter a date. When editing the field, you’ll be able to use a date-picker widget to help you.

  8. Text Area

    • A large input area field where you can enter long text notes and messages.

    • Text Area supports multiple lines and paragraphs.

    • The character limit for the Text Area field is approximately 32,000 characters or the equivalent to 150 written pages; however, it's a better user experience if the character count is kept to 500 characters or less.

  9. STATUS

    • STATUS tells the system that this field's values will be displayed on file thumbnails when selected.

    • The entry type defaults to a Dropdown.

    • Depending on the settings, a User may also be able to add their own values.

    • STATUS fields must have a descriptive tag associated with them: field name "color," entry type "input".

  10. Folder

    • Folder is associated with a field that has been created when a folder is uploaded. The entry type auto-populates with the field.

    • Do not change nor edit the folder fields and entry types.


CORE 6.6: Searching Tags and the Faceted Search

What Tag Fields Are Searchable in CORE 6.6

Tag fields with the following tag entry types are searchable in the CORE 6.6 keyword search bar:

  • Input

  • Dropdown

  • Dropdown Multiselect

  • Checkbox

  • Radio

  • Text Area

  • STATUS

Date is not currently searchable in CORE 6.6.

Folder is not does not apply to CORE 6.6

What Tag Fields Appear in the Faceted Search Filter in CORE 6.6

Tag fields with the following tag entry types appear in the 6.6 Faceted Filter menu:

  • Dropdown

  • Dropdown Multiselect

  • Checkbox

  • Radio

  • STATUS

Structural tags and Associated tags with these entry types appear in the Filter's menu; however, Descriptive tags do not.


CORE 7.0: Searching Tags and the Faceted Search

What Tag Fields Are Searchable in CORE 7.0

Tag fields with the following tag entry types are searchable in the CORE 7.0 keyword search bar and advanced search feature:

  • Input

  • Dropdown

  • Dropdown Multiselect

  • Checkbox

  • Radio

  • Date

  • Text Area

  • STATUS

Tag fields with entries like Dates or Status are better suited for use in the Advanced Search, instead of the Faceted Filter menu -- though you can add the fields to the Filter menu as desired. To cut down on long Filter menus, we'd recommend keeping the following tag entry types to the Advanced Search Filter where you can search the specific fields and values:

  • Dates

  • Status

  • Input

  • TextArea

What Tag Fields Appear in the Faceted Search Filter in CORE 7.0

Admin users have more control in CORE 7.0. You can now select which fields you want to appear in your environment's Filter menu no matter the entry type.

All tag entry types can appear in the 7.0 Faceted Filter menu; however, admins should consider the larger user experience when selecting which tags to add.

For instance:

  • Longer entry types -- like Input or TextArea where 100s of characters are being used -- don't provide the best user experience in the Filter menu.

  • If Input values are kept short, then adding them to the Filter menu may be desired.

  • Likewise, if dates are used heavily, an extensive list could easily overshadow the menu.

  • That said, if dates are used selectively and users don't know the exact date they're looking for, making dates available in the filter, could bring value to their DAM experience.

Ultimately the decision to add the filter is yours, since every new field defaults to NOT being included in the Filter and must be added when setting up the field or editing it later.

Finally, like in CORE 6.6, both Structural tags and Associated tags can appear in the Filter's menu; however, Descriptive tags do not.
