User Guide: CORE Guide to Adding & Managing New Users for Dailies Productions

Note: User role templates are setup with site admins and clients during the onboarding phase. The enclosed roles are just example roles. The user guide for roles and adding users should be customized and provided to studio and production team members who have permissions to create roles and add users.

CORE Guide: Adding & Managing New Users

Add a New User

To add an individual user, go to Users

From the Manage Users tab

Select +New User button at the far right.

  1. Enter at minimum the required fields which have red text*

    • First Name

    • Last Name

    • Username

    • User Role

      • All users require a user role. A User Role is what gives users their permissions. Go to Add User Roles, for instructions to create one.

    • Company

    • Department

    • Position

CORE Tip: Copy Assistant(s) on Exec Accounts

To add assistant(s) to email notifications for their executives, go to the executive's user profile. Go to the CC field, and add the email address on the assistant's user account. The assistant must have a CORE account to be added to this field and receive notifications.

2. Scroll down to the Activation section, and turn on any requirements needed for the user:

  • Example: Add an Expiration Date to deactivate a user on a certain date

  • Example: Mark user as Sensitive to hide them from most users except System Admins and those with permissions to view Sensitive users

3. Go back to the top, hit Save. Or, hit the cancel X if needed.

The page will refresh to an Existing User Profile

Create CSV for Importing

  1. Download the CSV template for adding and updating users.

  2. Here is an example csv with pre-populated information.

  3. Populate and format your CSV according to CORE guidelines.

Import Users With CSV

  1. Once your CSV is created, go to the Users section

  2. In Manage Users tab

    Select the Import from CSV button

  3. The Create option should be selected by default. If it's not, select it.

  4. Hit the Choose CSV File button. Select your file.

  5. A message will appear that your file is importing, and you'll receive an email notification once it's complete.

  6. Go to your email for the email notification.

    1. The notification will show the number of successfully imported users, and if there are any failures, it will list how many accounts and which ones they are.

    2. If any users fail to import, go to the Add Users Via CSV article for troubleshooting and reimporting the remaining users.


Build Your Own User Lists

If you’re more than a view-only user with the ability to share your own files, you can make user lists. These are used for sharing and distributing files. To create a list, go to Users.

  1. Select User Lists at the top

  2. Select the green New User List button to add a new User List

  3. Name the list

  4. Select +, to add your desired recipients

  5. Save List

You can create as many user lists as you need in any combination of users.

Big list with lots of names? Import a list via CSV.

Using Your User Lists

Once you’ve created your user lists, they will appear in the dropdown recipients list when sharing packages. Put your cursor in the Add Recipient field, and the lists will appear first in the dropdown. Below is an example.

User Roles

Every user needs to be assigned to a user role. To create a set of new user roles for an upcoming production, you’ll need to create (#) roles as decided by your team. For example, below are a set of standard roles you could create for each production:

1. DAILIES RECIPIENTS

All view-only dailies recipients should be assigned to a user role called Dailies Viewers. This role has been created as a part of the system setup. Just add view-only users to this role. You do not need to create it for every production.

2. DAILIES VENDORS

When adding a new production, create a new Production Name_Dailies Vendor role. Then:

  1. Create new role from template

    1. Name it Production Name_Dailies Vendor

    2. Scroll down and select the Production

    3. Hit the Save Changes button

  2. User Access Rules tab

    1. Select the Production User Access rule by clicking on it.

    2. Under Production is….Add the name of the production.

    3. Select the Save Changes button.

3. PRODUCTION EDITORIAL TEAMS

When adding a new production, create a new Production Name_Editorial role. Then:

  1. Create new role from template

    1. Name it Production Name_Editorial

    2. Scroll down and select the Production

    3. Save Changes button

  2. Select Edit Access Rule tab

    1. Go to Production View Rule

    2. Select the Production

    3. Save

  3. Select User Access Rule tab

    1. Go to the User View Rule

    2. Select the Production

    3. Save

4. ASSISTANTS TO CREATIVE EXECS

When adding a new production, create a new Production Name_Dailies Selects role. Then:

  1. Create new role from template

    1. Name it Production Name_Dailies Selects

    2. Scroll down and select the Production

    3. Save Changes button

  2. View Access Rules tab

    1. Select View Production rule

    2. Select Production

    3. Under Production is…Add the name of the production.

    4. Save Changes button

  3. User Access Rules tab

    1. Select Production Users rule

    2. Under Production is….Add the name of the production

    3. Save Changes button
