How to manage users added to Core on a package share

Core users created during a package share are added to the user role “Added Via Email”. We’ve made it easier for Core Admins to monitor and manage the users being added this way.

Advantages of Creating New Users via Package Share

When a new user is added this way, a new user account is created in Core. The new user is assigned to a limited, Inbox-only role called “Added via Email”, and they must complete signup in Core to view the shared content.

  • For the package recipient, it's a few more steps than a public link, and it eliminates the need to pre-setup users via admin accounts just to get files shared out to someone.

  • It also guarantees the user's activity can be tracked in your system, and they'll receive the same watermarks and permissions applied to everyone else in Core.

  • With the user in Core, they can later be moved to a configured role, or managed and expired like any other Core user.

  • Since trusted approved users must be granted rights to share, Admins will be in coordination with them to monitor your active user numbers. And since all users added this way default to a specific "Add Via Email" role, you can easily track how many people are being added.


Who Can Create New Users Via Package Share

  • Admins and users with permission to “Create User by Email” can add users to Core with a package share.

  • Users, once invited, are added to the “Added via Email” user role.

Managing Users in the Added Via Email User Role

Any user invited to via a package share, appears in the Added Via Email role.

Pending Users

In the Members tab of the Added via Email role, there’s an additional section called “Pending”.

  • Pending members are those invited members who have been sent a package share; however, they have not yet completed account setup, therefore, we have only their email info.

  • Pending members can be seen only by Admin users. Standard users with the permission to create users with a package share cannot see this list, so they may be contacting their team Admin to validate the status of any pending user.

  • Pending users cannot be searched in the Manage User section, because technically their account doesn’t yet exist.

Active Users

Once a user completes the setup of their account invite, they’ll become an Active user in the Members tab of the Added via Email role.

  • Now that the account has been set up, they become visible to any Standard user with the ability to see that role.

  • The user also becomes searchable in the Manage Users section.

  • All users added via a package share receive the default Company, Department, and Position - Added Via Email. This can be updated by a user manager as desired.

  • The user can also be moved to a different role at this point.
