In this guide you’ll find fast, skimmable instructions on the following subjects:

Logging In

Login to your desktop or mobile web browser at your client URL or via your SSO platform. At first login, you’ll be prompted to accept a general license agreement. Accept it, and you’ll be redirected to CORE, usually your Inbox. NOTE: iOS Mobile and Apple TV Inbox viewing apps are available from the App Store. Search for 5th Kind v6. When logging in, enter [client name] in the Client field.

CORE Icons

The icons you see in the left menu and top right header are related to what permissions you’ve been granted. For any questions about your user access rights, contact your system administrator.

Dashboard

For systems with Dashboard enabled, select a project to go to that project’s packages in your Inbox.

File Search

Find all files you’ve uploaded or been given permission to see without an inbox share.

Inbox

Where you will find your packages (CORE’s version of an email) and associated discussions.

History

A record of all the files you’ve accessed in the system, and a handy search tool.

Transfers

View all files that you’ve downloaded or uploaded. Access uploads you need to finish filing.

Users

All users you can see. If you can share packages or download for group distribution, you can also create your own user lists.

Help

Go to our external user manual for help and guidance with a feature.

Box

When enabled, connect your Box account to CORE for importing directly into CORE. Download using Aspera to Box Drive.

Live

When enabled, join your teams real-time for review sessions, remote video village, production rehearsals, etc.

Admin

Access the System Administrator’s dashboard.

Profile

Add a profile image. Logout from the dropdown menu.

Upload

Upload large files or batches of files quickly with Aspera. Aspera is off when “A” isn’t visible.

More Menu

on Upload enables you to switch Aspera on or off.

Packages

Create and manage packages of assets that you compile and order for sharing.

Dashboard Overview

The CORE Dashboard is a quick filtering tool for your inbox and, if you have access to it, for File Search.

NOTE: If you do not have a dashboard enabled on your site, you’ll see no production dropdown in the top black bar. Instead, you’ll see a projects filter at the top of the Browser tab in File Search, and above your Inbox menu.


File Search Overview

File search is your main file drive where files in the system that you have permission to see are stored. File Search is different from the Inbox, where users can grant you access to view and download specific files that you may or may not have access to in File Search. The most recently uploaded files appear at the top of File Search by default.

Set Up Your File Search Display

Depending on your workflows and how you track files within the DAM, you may need a different display. By default, File Search displays files with Asset Groups on, in Thumbnail mode, and the most recently uploaded files listed at the top.

Asset Group & File View

Select an Asset Group’s file path in File Search to open it. Here you can see all the files in a group, sort their display. View Asset Details. Access Package Discussions your on where a file has been shared by or with you. And view individual files.

Opens the viewer window on your computer so you can select files for upload.

Opens the Discussions Panel. View and select from discussions associated with the files in the Asset View.

When selected, adds files to an active package. If no active package, opens the Package menu.

Opens the More menu. Includes options to open other panels.

Close the file or Asset Viewer and return to File Search.

Open the side panel.

Closes the side panel.

Opens the Asset Details Panel which contains all tags associated with the file(s).

Available only when a file is open. Opens the File Info Panel which contains all metadata embedded within a file. Also contains the File ID and checksum assigned when uploaded to CORE.

Opens the File Relationships panel showing linked parent-child relationships between files. Video files with subtitles link the video file and text file within this panel.

Opens the Package menu or the “shopping cart” of an active package.

Opens the Approval History panel showing any thumbs up or thumbs down actions.

Asset Viewer Icons in a Package (Shows icons in addition to those above)

Turns the package into a real-time Sync Review session.

Opens Download Panel.

Opens Recipients Panel where you can see who has received the package.


Search & Find Files

Users can search for files, assets, and packages in different modules throughout CORE.

  • In File Search, users can find individual files and asset groups by

Searching File Search

The best way to find your files in File Search:

  1. Start in Browse on the left. This is like your computer’s file directory. Select the Project that the file is in. This narrows your Filters.

  2. Go to Filter and select a Filter that’s relevant to your search

  3. Add any keywords in the Search Bar

Use search functions in combination with each other to improve your searches. The best way to find your files in File Search:

  1. Start in Browse on the left. This is like your computer’s file directory. Select the Project that the file is in. This narrows your Filters.

Your CORE Inbox & Viewing Files

  • You will receive an email notification from CORE when a package of files has been shared with you.

  • When you receive this notification, select the link to go directly to the package, or log into CORE and go to your inbox.

  • Your CORE Inbox is like any other email inbox where you’ll see packages (CORE’s version of an email) that have been sent to you.

  • Click the link in your email or the Subject Line from the inbox to open the package.

  • A bolded Subject Line indicates new and unread messages.

To play a specific file in the playlist, click on the thumbnail to open the file.

If files Autoplay, and you want to turn it off, toggle the control above the Playlist.

Find Packages in Your Inbox

To find packages later, you can search your inbox:

Filter Packages to be more specific with your search.

Sort Packages for easy skimming and findability.

If you have access to more than one project, select Production (Project) to narrow Packages.

View Packages by package type. As additional package types are received, they will appear at top of Inbox.

Select the star on a package to add it to Favorites. Use to easily view packages that are continuously updated.

View & Review Packages

When you open a package requesting feedback you’ll see the assets on the left, in the order that the sender intended you to view them. On your right will be any associated message from the sender. Select a file to open it.

Provide Feedback on Packages & Assets

You can comment generally on a package by replying within CORE to the message that was sent to you. You can also comment on individual files when reviewing them in the Asset Player. To do so, select the individual file.

NOTE: Some packages will have comments disabled by the sender. In these cases, no commenting field or annotations icon will be available.

Build Your Own User Lists

If you’re more than a view-only user with the ability to share your own files, you can make user lists. To do so, go to your Users .

  1. Select User Lists at the top

  2. Select the green New User List button to add a new User List

  3. Name the list

  4. Select +, to add your desired recipients

  5. Save List

You can create as many user lists as you need in any combination of users.

Using Your User Lists

Once you’ve created your user lists, they will appear in the dropdown recipients list when sharing packages. Put your cursor in the Add Recipient field, and the lists will appear first in the dropdown. Below is an example.

Upload Files

If you have permission to upload, you’ll see the upload icon in the top right. If there is no Aspera logo next to the icon, and you’re uploading large files or batches of files select the More menu and choose Aspera.

  1. Begin by clicking the Upload icon

  2. A file dialog window will open. Select Yes.

  3. Select your files and then Open.

  4. The file directory box will automatically close and the uploading files will appear in the Upload Viewer.

Upload with Drag and Drop

Save time categorizing files by dragging and dropping files into an existing Asset Group or a Package. Just hover the files over the space and a Drop Files Here boundary should appear in that space. For more specific instructions, go to the article Upload Files in CORE.

Upload Details Overview

Once you select your files for upload, the Upload Details page opens where you tag the files and submit them to the system. If you are interrupted and do not complete tagging your files, you can find your untagged files in the Transfers page.

Categorize / Tag Your Files

Categorizing or tagging your files in CORE is like putting files in folders. It makes them findable later. From the Upload Viewer, fill in the Required fields. Add more details as desired. For more about filing and tagging files additional articles are available on the support site:

1. Choose a Domain. Domains define the tags you choose from.

2. Select your Project or Production.

Add more tags as you find it helpful. Select from the Tag Groups in the top bar to add information. Examples below

When done, hit Submit.

Save Tags as Template for Reuse

If repeating tags for another upload, save your tags.

  1. First, select all the ones you want to repeat.

  2. Then select the save icon.

  3. Name your template and save.

  4. Then finish adding all the tags that are unique.

  5. Submit.

Next time you upload or tag, preload your tags by:

  1. Selecting "Load Last Categorized", or

  2. Choose your tag templates icon.

  3. Then choose your desired tag template.

  4. The tags will load. You can now add any additional tags.

  5. Submit.

Edit Tags on Existing Files

To edit tags on existing files:

  1. Go to the file or Asset Group.

  2. Select Asset Details.

  3. Select Edit.

You will see these same options.

Find Files Not Yet Categorized

If you are interrupted and do not complete tagging your files, you can find your untagged files in the Transfers page.


Share Your Files

Once your files are uploaded, you can share them either after tagging them or by bypassing tagging with Skip & Share. Either way, you’ll go to the Sharing panel, where you must do the following:

  1. Select your Package Type (legend below)

  2. Add or update the Subject Line / Package Name

  3. Add your Recipients

  4. Write your message

  5. Confirm your Share Settings and Download options (legends below)

  • Notify on open - notifies sender when recipient opens package

  • Send emails - Sends notification email to recipient

  • Allow forwarding - Enables recipient to forward package

  • Modify package - Enables recipient to modify package for all users

  • Review Mode - Turns on a dark mode with minimal tools

  • Autoplay - Autostarts playback of package

  • Group view - Breaks files into original Asset Groups within a package; overrides customized package order

  • Hide users - BCC mode

  • Disable comments - turns off commenting on package

  • Limit views - Recipient can open package specified number of times

    • Limit downloads - Recipient can download files specified number of times

  • Start Date - Recipient cannot open package until specified time

  • End Date - Recipient cannot access package after expiry date

Most users can share only with Recipient Settings or View Only. You can never give more permissions than you have yourself.

  • Recipient Settings - Defaults to whatever permissions the recipient has been granted through their user role

  • View Only - When selected, no matter a user’s permissions, they can only view the files in the package

  • Allow download WITH watermark - If you as a user have this permission, you can grant another user permission to download proxies of the package files with a watermark

  • Allow download WITHOUT watermark - If you as a user have this permission, you can grant another user permission to download source files or proxies without a watermark

Create & Share Packages from Existing Files

To create a package from files already in the system:

  1. Select the Package in Top Menu, and create a +New package.

    1. Drag thumbnails of files into the Package Panel on the right side

    2. To add individual files to the package - Hover on a file thumbnail and then select +

    3. To add groups of files to the package - Select More for the Asset Group

    4. To add files from an existing package - Select files or group of files in a package, then select + in top right menu on package

  4. Customize the order of your files by dragging the files up or down within the Package Panel

  5. Select Share at the bottom of the Package Panel.

How to Reactivate Your Package

If your package isn’t visible in the top bar,

  1. Go to the Package Icon

  2. Select Activate next to the name of your duplicate package.

How to Reopen Your Package from Package Menu

If the top button disappears, and you need to reopen your package,

  1. Go to the the Package Icon

  2. Then select the folder icon to open your package.

Add Files to Package From Another Package

To add the file from another package in Inbox:

  1. Go to the package with the file

  2. Select checkbox on the file or files

  3. Select the + icon in the top right

  4. Close the package

  5. In the top bar, select the name of your active package within the button

  6. Your package will reopen, and you can now prepare to send it.

Add Files to Package From File Search

To add the file from File Search:

  1. Go to the file or asset group where it can be found

  2. If the file is visible from File Search, select the + icon on the file

  3. If you’re adding multiple files and they’re visible in File Search, select the checkbox on the files.

    1. Then, select the + icon at the top.

  4. If the files are within a large asset group, select the file path of the asset group.

    2. Select the + icon

    3. Close the asset group

  5. In the top bar, select the name of your active package within the button

  6. Your package will reopen, and you can now prepare to send it.

How to Organize a Package

If for whatever reason you need to reorder or change the view of the files in your package for your recipient, you can easily do so.

Notes:

  1. Reordering files is best done in Chrome.

  2. Don’t have the Share panel open when reordering files. Having an open message will cache the package in its current state, and your re-organized files won’t be reflected when the recipient receives the package.

Reorder Package Via Thumbnails

To reorder via thumbnails:

  1. Select the thumbnail of the file you want to move and hover over the files where you want to place it.

  2. An Insert Here box will appear. Drop the file there.

  3. To view more files on screen, zoom out your browser with Command or Ctrl (depending on Mac or PC) and +/-.

  4. Repeat until complete.

Reorder Package Via List in Package Panel

If reordering by thumbnails isn’t your preference, you can reorder the package via the Package Panel, with a couple extra steps:

  1. Go to the right side bar, and select the Package icon. This will open the Package Panel.

  2. The files should appear in the panel as a list.

  3. To reorder the files within this list, select the gray bar on the left of each file to drag it to a new position.

  4. Repeat until complete.

  5. Go to the More menu at the top of the panel, and select Open Package.

Organize Files by Their Asset Groups

If you have files across multiple asset groups, and you want the recipient to see them in Group view with the Asset Group file paths, turn on the Group toggle in the Share Settings.


Download Files

Download files by selecting the Download icon on any one of your files or packages. If Aspera is enabled, you’ll be prompted to select the destination folder. If you’re downloading as a zip, it will automatically go to your Downloads folder.

Select to Download a Single File, Asset Group, or Package

  1. To download a single file, in Thumbnail mode, hover over the thumbnail and select download.

  2. To download an Asset Group, select download on the group.

  3. To download a Package, select download within the package shopping cart or package view.

Select to Download a Compilation of Files

  1. Select the checkbox on a series of files, and then select download.

  2. Create a package, and download it. Instructions to create a package are on the next page.

Choose Download Options

After selecting download, a panel will open. If you have download options, such as proxy resolutions, they’ll appear here.

  1. Select Download again.

  2. Allow Aspera Connect to open and choose where your files will be downloaded.

  3. Follow the progress of your download in the Download Details page or Close the Download panel.

Notes:

  1. When the files have completed downloading there is not a notification pop up. You’ll see a progress symbol in the bottom left corner of your CORE. Once the progress reaches 100%, check the destination folder you selected for your downloads.

  2. If you have a large file or large batch of files that you’ve opted to watermark, processing time can double to include the watermarking step.

  3. If you don’t see your download, you can go to Transfers in the main left menu. From the Downloading section, select your download and restart it.

Collaborate with Review Mode Packages

Engage your team in a collaboration session via Review package sharing. With a hosted Review package, teams can simultaneously view content from anywhere with their own watermark using your preferred meeting tool. This feature is ideal for real-time reviews and approvals with partners and clients.

  • A Review package ensures everyone is looking at the same materials at the same time as guided by the host.

  • Currently there is no host switching. If multiple users need to share, join your phone call or video conferencing session and move from one Review package to the next as decided by the team in your meeting.

Send a Review Package

  • Follow the package sharing instructions provided on page XX. Select Review as the Package Type.

  • Set a meeting time for your team to open it together or just hop on a call together to review the materials.

Start a Review Session

  • Other users cannot view the materials in a Review package until it’s opened and initiated by the sender host.

  • To start a session, open the package from your Inbox.

  • You will see your user icon on the right side. As other users join, you will see theirs as well.

Join a Review Session

  • Go to the Review package in your Inbox and open it.

  • If the host hasn’t opened the package yet, you’ll see a Waiting for Host screen.

  • When joined, you’ll see the icons of everyone in the session on the right side.

  • The Asset Player will display whatever file the host is viewing, and your watermark will be displayed on the file.

Add Annotations & Feedback Within a Review Session

  • Point out real-time comments with temporary annotations, using the crayon on the bottom right of your view screen.

  • Add comments in the commenting field that will be captured and associated with the file for your host to review later.


Downloadable Versions

Download and distribute or customize and make them your own.
