Skip and Share: What Is It, How to Share Files With Skip and Share, and How to Find Skip and Share Files and Packages Later

Files can be immediately shared after they are uploaded without tagging. This is called Skip & Share in the share panel. Skip & Share files and permissions are also referenced as Quick Share (a Domain and User Permission) or Distribution (a File Search Production) in other parts of the system.

How to Skip & Share

After uploading your files, you have the option to categorize them, or to Skip & Share, essentially skipping categorization (you can go back and categorize them later - See How to Find & Tag Untagged Files)

To Skip & Share, select either the Skip & Share link in the middle of the tagging panel or Skip & Share button at the bottom.

Once you’ve clicked Skip & Share, you will be taken to the Share Panel where you can select your package type and recipients and share your files. Go to Package Sharing Overview for sharing instructions.


Find Skip & Share Files

Skip & Share files are autotagged under the Production called Distribution. They are then tagged by the Sender's name, followed by the Package Name.

Who Can View the Distribution Production

  • Sender users who have access to File Search - you can see your own Skip & Share packages under Distribution

  • Admins

  • Users with Access Rules to view or edit the Distribution production - typically Asset Managers


Tagging Skip & Share Files

Skip & Share is mostly used for WIP assets that need review, but aren't necessarily ready for your team or production to add to their library, such as with "final" versions.

If you determine you want to add your Skip & Share files to the production library, simply go to the Package in File Search.

  1. Select the Asset Group

  2. When it opens, choose the Asset Details panel. You'll see the files categorized under Quick Share.

  3. As the sender or asset manager, choose the Edit button.

  4. Retag the files, selecting the appropriate Domain, Production, and any other required tags necessary to complete the tagging process. Typically this is a Department, Category, and Asset Type at minimum.

  5. Submit


Drawback of Skip & Share

  • Files will NOT be available in File Search to most users. Skip & Share files are available only in the Distribution area of File Search accessible by:

    • the Uploader

    • a User or Role with an access rule for Distribution, and

    • Site Admins

  • Once you have shared the files, they will only be available in the user’s Inbox and will only be searchable in the Inbox using the Distribution production filter.

Important: File Categorization is extremely important in CORE. The way files are categorized determines how people will find them, as well as who has access to them. If you have questions about how to tag the files you are uploading, please contact your Site Administrator.
